Communication with parents can often make or break a student’s school year. Keeping parents informed is always a top priority for educators and usually, it requires several modes of communication. We want to be transparent and timely in sharing information with our parents. These tips and tools will not only help support students and parents but also provide a record for teachers.

Tips and Tools to Improve Parent-Teacher Communication

Virtual Tech Support and Tutorials

There are a few ways that virtual tech support and tutorials can help parents. Of course, in these pandemic times of virtual learning, we are all now accustomed to this situation and the need for support in this area. However, a tutorial might also be helpful for parents who may not be as familiar with the technology. They may need help navigating a classroom website or the online grade book. 

Screencastify is a simple Chrome extension that will save all recordings onto your Google Drive automatically. It’s free and allows you to edit, add text, and much more. 

Loom is very similar to Screecastify, and also offers free and paid versions. Loom adds a more personal touch by including your face video in the corner while you share the tutorial. 

Iorad is another screen recording tool that allows you to record an interactive tutorial. For example, if you want to walk parents through a website with a number of clicks, Iorad allows them to click through that process. 

Consider how these tutorials need to be stored and then accessed by parents. A district or building a YouTube channel may be the best option. Sharing a playlist link or individual video link is super simple. 
Google Drive links can also be embedded on websites or in emails. 

Social Media Communication

Important dates and reminders can often be an expectation for parents to see within their social media feed. It’s likely parents visit those communication tools daily and will see those important announcements and reminders. 

Parents and students enjoy seeing pictures from special events and celebrations that happen during the school day. However, it’s important to consider how student images are being shared. Episode 153 of the Shake Up Learning show provides ten reasons to stop and think before sharing images of children on social media. 

The most common social media platforms that teachers and schools are using to share information with parents include Twitter, Instagram, Facebook, YouTube, and occasionally TikTok. 

For those utilizing social media to communicate it’s worth sharing that Canva offers a number of templates. Using templates can help save time and allow for a cohesive, branded look that will help parents see it as official information. 

Tips and Tools to Improve Parent-Teacher Communication

Direct Parent Communication

In the instances where schools have participated in remote learning, teachers were away from classroom telephones. As a solution, many turned to a Google Voice phone number for talking directly with parents. This is a phone number that is connected to your Google account and offers voice calls, text messaging, as well as, voicemail. 

Email is by far the most popular form of communication. One of the best ways to leverage this communication tool is through the email signature. There, teachers can add links to other communication tools. 

Text messaging through a personal phone number may not be something teachers want to provide to parents. Remind is a great tool that allows teachers to send messages without being linked to their personal phone numbers. The options to send links, images, or voice clips are all available. This also keeps a record of the communication that took place between the teacher and parent. Messages can also be sent to a group or individuals. 

LMS Progress Reports and Communication

Many of the most popular platforms allow for teachers to automate communication about grades and assignments. Google Classroom allows guardians to input their email addresses and set up notices for assignments. Schoology, Canvas, and Seesaw also provide ways for parents to see student progress and assignments. 

Class Dojo is a tool used mostly in the elementary grades as a behavioral management tool. Teachers have the ability to send personalized messages along with the behavior updates automatically shared with parents. 

Surveys and Feedback

At the start of every school year, it’s a good idea to connect with parents and ask them about their preferred method of communication. Comparing your preferred tools to parent-preferred tools can help you navigate which tutorials might be necessary to start. 

Tips and Tools to Improve Parent-Teacher Communication

Two tools that can help generate feedback are Google Forms and Jotform. Google Forms is a great way to help you see what’s most popular and collect information that can be saved in a spreadsheet. JotForms are great for taking a PDF information sheet and making it digital. Once parents answer all the questions the form can be printed in its original form and added to a binder. 

Parent-Teacher Conferences and General Updates

Another innovative option that surfaced during the pandemic is the option to have virtual conferences. Whether these meetings are a typical update or a necessary meeting to comply with the special needs of a student, Google Meet, Zoom, or Microsoft Teams are popular tools. 

Google calendar now allows for a booking page! This can be used to create appointment time slots where parents can choose their time and day based on your provided options. 

When choosing a video conferencing tool consider the needs of the parents. Google Meet can provide captions, as well as, translated captions. Google Docs also provides a translation feature. Perhaps it is necessary to keep a document of notes during the conference, a Google Doc can allow for collaboration and a record of the meeting. 

Flipgrid is often referenced for students, but it could be used for personal video messages being shared with parents. Rather than mailing a positive postcard, Flipgrid could be the place to share something positive that a student did that day. 

Class Resources, Newsletters, and Happenings

Throughout the school year, it may be necessary to share classroom resources with parents. Perhaps students are using an online textbook, web-based reading materials, or specific web-based learning tools, these can all be collected inside of Wakelet. While these may be used by students, it helps when parents understand and know how to help their students access them.

Another way that Wakelet can help is to collect resources specifically for parents. Any video tutorials, links to class websites, or even a virtual newsletter can help keep everything in one place to easily locate.  

When mapping out how you will communicate with parents it’s important to consider the time it takes to complete a single communication tool. Designing and writing a newsletter could be incredibly time-consuming. However, utilizing a template from Canva could help speed up the process. In episodes 132 and 133, Kasey shares more than 30 ways to use the templates that Canva provides for educators

Class Blogs are another great way to share information with parents. Providing parents with a singular place that shares all the information, even in the palm of their hand, can be a major time saver for teachers. 

Some of the most common options for creating this type of website include Edublogs, WordPress, Weebly, or Google Sites. While Google Sites is not officially a blog, it is a simple way to create a classroom website with embedded documents, images, and links. 

No matter how you choose to communicate with parents it’s always a great idea to begin with some collaboration. Check with administrators to learn if there are preferred tools. Talk with colleagues and team members to help generate consistency and time-saving habits. It may be possible to share the work in creating general communications. Even students can help!

10 Reasons to Think Before You Share Photos of Children Online

This post and episode may hit a bit differently, but it’s one that is near and dear to my heart. I feel like I must speak out and be an advocate for our children and students.

10 Reasons to Think Before You Share Photos of Children OnlineRecently, I have been doing a lot of research about the risks of sharing pictures of children online.

As a parent and a teacher, I feel like I must advocate for our children and share this information. There is no 100% safe way to share a child’s image or information online.

I have personally struggled with the idea of sharing my beautiful son online. While I am bursting with pride as a parent, I am also aware of many dangers online. So, I did my research and there is so much that parents, teachers, and schools should be aware of.

The purpose of this post is to grow awareness, not to point fingers. Make your own educated decisions about what is right for the children in your life.

Before we dive in, I want to clarify something I have talked about in the past, sharing student work for an online, authentic audience. This is still important! Kids need an audience, but remember, we do not need to share names, faces, or identifying information in order to give students an audience for their work. (I talk a lot about his idea in my books.)

As parents, we have to think about whether we are sharing this for ourselves or for the good of our children?

As teachers, we have to think about whether we are sharing this for ourselves or our school, or for the good of our students?

This question comes up a lot in a book I’m reading, Growing Up Shared: How Parents Can Share Smarter on Social Media—and What You Can Do to Keep Your Family Safe in a No-Privacy World.

3 Kinds of Parent Sharers 

  • Casual proud parent
  • Sharenting: the habitual use of social media to share news, images, etc. of one’s children
  • Influencer – Mommy ran accounts

Privacy is very hard to protect these days. Will the child appreciate what has been shared and told about their life, their struggles, and their successes? Will they like knowing that personal and even intimate moments have been shared and talked about by strangers?

#2 Data Mining and Tracking

All images and information are being tracked by big data companies. I say this all the time, “You must both fear and respect Google (and Facebook, etc.) because they know a lot about you.” If you think they aren’t using facial recognition on the children in your photos, you are naive.

Our children and students are now data points being tracked throughout their entire lives. Data is big money these days. Are you willing to share that information? Is it your information to share?

#3 Protect Children from Pedophiles

The dark web is a reality and there are so many horrible human beings that can take an innocent picture of a child’s first steps, or winning the volleyball championship and turn it into something vile.

There is a gruesome underground world where images found online are regularly exchanged, rated, and discussed in horrifying ways. They even have their own code and emoji.

Do you know who is following your account?

Do you want your photo in the hands of a pedophile?

#4 Protect Children from Creepy Photo Editing

I had no idea that there’s a world of sharing among pedophiles where they regularly take normal, appropriate photos and edit them into something sexual. It makes me sick. I don’t even want to say more than that. This should scare you! 

Do you want your photo edited into something inappropriate and sexual?

#5 Identify Theft & Digital Kidnapping 

Yes, this happens to children. Identity theft is a massive problem for adults, but did you know there are people collecting tiny tidbits of information about children and stealing their identities too?

Almost every photograph contains embedded information that you may not even be aware you are sharing like time and location. But there are clues in photos that could also be used against you.

Have you heard of digital kidnapping? It’s a thing! People can take your photos and post them online and claim the children belong to them. The crazy things people do these days.

#6 Embarrassment

Maybe I should have started here with something as simple as an embarrassment. Remember when your mom would bring out the baby book and show it to visitors at your home, perhaps your new boyfriend! In my day that was embarrassing. Now put that on steroids with high-resolution photos and VIDEOS and share it with the whole world!

Will students appreciate that TikTok dance and song with them in the background while you make extra cash?

Will your child appreciate your advocacy when they are overcoming handicaps, obstacles, or just throwing a fit and you hit their face with a slice of cheese? Or will they be mortified? Is it your story to tell?

Will the child be embarrassed now or in the future? What are the consequences of that?

Are we teaching our students how to protect themselves online?

#7 Bullying

Many kids are already being bullied about their photos online. A bully needs very little to hurt someone. Something that seems cute and funny when they are small can be fodder for a kid looking to be hurtful.

I’m a firm believer in advocacy, but what is the cost of sharing a child’s handicap, illness, or even wearing a helmet as an infant?

Could the child be bullied for the image shared?

Digital citizenship is more important than ever. Our children and students need to know how to behave online and protect their information.

#8 Inappropriate Online Contact

Check your followers and comments! (Or check those of some influencers you follow.)

There are fake accounts of course, but there are plenty of grown men following underage girls and commenting. I even found a mommy-ran account selling pictures of her 11-year-old child with subscription packages! (OMG!)

#9 Stalkers

Do you think you’ve hidden your location? Think again, especially if you work at a public school! Posting a picture from a public park? They will show up and find you there, too. Maybe you think they can’t figure out where you live? They can…just ask the girl that was confronted by a gunman at her door.

I’ve seen many news stories on stalkers finding and endangering both adults and children. I recently saw a mother posting about someone showing up at the park where she regularly takes her children (and takes pictures from) to meet the “TikTok famous” mother and child. Stalkers need very little information to find you, your child, or your school.

#10 Long-Term Effects are Unknown 

The bottom line is that this is still something so new that we do not yet know the long-term ramifications for our children and students.

All we can do is try to protect them while we can, and teach them to protect themselves.

Advice for Schools and Teachers:

  • Think beyond FERPA! Just because we have permission to post doesn’t mean we should. What is the value? Who does it serve?
  • Rethink your school policies when it comes to information shared online.
  • Educate your teachers, staff, students, and parents in online safety and digital citizenship. 
  • You don’t have to share names, faces, or personal information to share exciting things happening at schools.
  • Highlight student work and accomplishments rather than their face or identifying information.
  • Ask for student permission too!

  • Avoid sharing any identifying information
    • Birthday
    • Location
      • school
      • Parks
      • Neighborhood
    • Vacation
  • Nothing even close to nude, even with babies–what seems cute and innocent to you is NOT to a predator, especially with some photo editing software.
  • Pay attention to your followers!
  • Make your account private, or consider other ways to share with family and friends

Podcasting in the Classroom with Jake Miller

Kicking off the list of presenters is Jake Miller, who shares his ideas for “PodCLASSting” using a few different tech tools. One way to make podcasting with students more manageable is to try micro-podcasting. Quick 3-5 minute episodes using the Chrome extension Mote. 

Mote is an extension that easily allows students to embed audio clips into Google Slides. Mote has a guide and template for creating micro-podcasts in the classroom. 

Jake also shares how Flipgrid and Padlet can also be used to create short podcasts with students. 

Social-Emotional Learning with Jamboard by Luci Bowers

SEL with Jamboard presented by Luci Bowers,  will provide ways to tap into students’ social and emotional wellbeing. She shares five components that break down all that SEL encompasses. This session is available on September 26.

Sketch & Tell with Jon Corippo

Presentation Tips for Trainers, Coaches, and Teachers

Today, I am talking about how to create good presentations.

These are my best tips to help trainers, coaches, and teachers become better presenters.

I’m sharing my best practices, some Google Slides tips, and my own presentation habits.

I am by no means the perfect example of a presenter, but I have learned so much over the years that I want to share.

I’ve attended many conferences and watched many other presenters. Some are great, and sometimes you can’t even read what is on the screen.

As you get more creative with your slides, sometimes the creativity can distract from your topic and content.

My slides will not win any awards, but I like to keep them CLEAN!


Choose a Great Title for Your Presentation

Whether you are presenting at a conference or delivering a lesson to your students, your title matters. Choose a title that is short, yet descriptive, and engaging. (Writing skills come in handy in every content area!)

When you attend a conference, the title is EVERYTHING! We’ve all chosen a session just because it has a cute title. Sometimes that title drives inquiry and curiosity. Sometimes it just sounds fun. Be careful not to bait your audience! It’s also very disappointing when a presenter doesn’t deliver what the title promises.

Themes can be fun. I have done a presentation titled “Stranger Google: Crazy Tools from the Upside Down,” with an obvious theme for fans of the Stranger Things Netflix series. Of course, the description helps clarify, but this title has packed rooms with hundreds of people. (Note: PLEASE don’t steal titles from others. BE ORIGINAL!)

“Google 101” is not going to excite anyone, and it’s too broad. Maybe “Google Docs 101” is better but still not enticing. Instead, try “Must-Have Google Docs Skills.” Numbers are good eye-catchers, too. “20 Must-Have Google Docs Skills” is even better. If you aren’t good with titles, collaborate with a creative colleague or friend.

Rework your title to keep it as short as possible. For instance, “Engaging Students Through Nearpod, Pear Deck, and Google in a Pandemic” is too long. Maybe a better title would be Engagement Tools for the Pandemic Classroom. Word choice can help you rework a long title into something more succinct.

Your Presenter Bio

Your presenter bio is required for most conferences. This needs to be written in the THIRD PERSON. It’s tempting to feel like you are introducing yourself, but it looks much more professional to have it written in the third person. Again, keep it short and to the point. Most conferences will limit the number of characters, so every word counts.


Presentation Design

Keep in mind; the number one design goal is to communicate effectively. That means your slides have to be easily read by everyone in the room.

Color

Choose a very dark text with a light background (my favorite) or a light text with a dark background. By the way, this is also the rule of thumb with web design. Many color combinations often don’t have enough contrast, especially when faded out with a projector. And don’t forget that many participants and students are color-blind.

I love color! You see many colors on Shake Up Learning and in my slides, but I try to use ample WHITE SPACE to make sure it’s readable.

Choose complementary colors. Use Canva’s color wheel to help choose the right colors for your theme and stick to the same set of colors throughout your presentation.

I typically use the default light theme in Google Slides. Then I use the master slide to customize the fonts and accent colors.

Fonts

As a rule, you want to choose a font that is easy to read–font, font size, and font color all contribute to readability. Choose wisely. The more creative fonts may look cute, but can someone read them from the back of the room? Can someone with dyslexia read it?

Stick with two or three fonts for the whole presentation. Consistency will give your presentation a more professional look. I’ve seen so many presentations that change fonts on every single slide. Stop! Don’t do that! It makes your slides look immature, and it’s unpredictable for the eyes of your audience.

Yes, I hate comic sans (and Arial) for many reasons. But when it comes to presentations, it’s not the cleanest font for everyone to ready, especially those who already have a hard time processing letters and words.

Choose a clean serif or sans serif that is heavy enough to stand out on the slide. Script fonts should be used sparingly. Research shows that serif fonts, like Times New Roman, are the easiest to read. It looks a little dated, so I try to use a clean sans serif font like Open Sans for the body of text that appears on slides.

By the way, this font choice idea applies to emails too! Please stop sending emails in a script font!

Avoid Too Many Bells & Whistles

Some presenters spend days perfecting their slides with the perfect colors, fonts, images, gifs, and more.

All of these things are great in moderation as long as they don’t distract from the content and your learning goal.

I love gifs, but combining it with too many other bell and whistles can distract from what you are trying to communicate. Even though gifs are super fun, make sure it aligns with your goals. If you can keep it clean, to the point, and the gif adds to the communication, you’ve got a winner. But adding a meme to every slide because you think it’s funny is more distracting, and it will get old.

Templates

FREE presentation templates are great! I’m a HUGE fan of slidesmanina.com for many types of templates.

Many of the Google Slides templates for education are not for traditional presentations like we are talking about today, but for interactive lessons, choice boards, and more. One of the many reasons that I call Slides the Swiss Army Knife of Google is that it can be used for so many other purposes besides a traditional presentations.

Be sure your template fits your purpose, and customize it to help you stand out as a presenter. Also, make sure that it doesn’t have too many bells and whistles that will distract from your presentation.

Bitmoji

A side note about Bitmoji: while cute and customizable, Bitmoji are EVERYWHERE and losing their originality–at least in my opinion. If you want to look original and professional, skip the Bitmoji and set yourself apart in an original way.


The Title Slide

The title slide is the first thing that your audience will see. Often I have a designed a title slide that is large and eye-catching, so there is no mistake that your audience is in the right session. This slide often includes a shortened link to the presentation. If you can’t fit the shortened link with your title, create a slide just for the link, so it’s displayed as large as possible. I also include a slide with my picture and basic information about me. I share my social media links and other ways to contact me after the presentation. Try to include your contact information, in the beginning, to help your audience get to know you and how to contact you with questions later.

One Link to Rule Them All

Please, I beg of you, share the link to your slides at the beginning of your session. Nothing irritates me more than someone who treats the audience like a child and holds the link hostage until the end.

I call this the “One link to rule them all” because I always try to just give one link to the slides or webpage that includes EVERYTHING. This way, participants can focus on the content and not have to write down every link as they go.

When I have several breakout sessions for a conference, I only have one link that has the slides embedded on my website for every session I am delivering. And yes, even when you share your slides ahead of time, people still attend your sessions.

When I am delivering an all-day workshop, I create a Google Site, so everything is found easily on one place.

I always share the link before starting the presentation to give participants time to open it and follow along. This link also appears at the bottom of every slide if someone loses it or walks in late.

This is especially handy at a conference where you can choose to attend (or leave) sessions. I want to know what you are presenting to make sure this is something I want to learn.

Never hold your content hostage!

Credit Your Sources

It drives me crazy when I see content that I have created on other people’s slides with credit. I spend pain-staking hours creating content, images, videos, free templates, and more. The proper thing to do is to credit your source and link back.

Of course, this goes for ANYTHING you have used that you didn’t create. Please give credit where credit is due!

Present with Captions

Google Slides has a great little feature that will add captions to your slides as you speak. This is one thing I am trying to remember to use more because it is a great way to support for ALL LEARNERS, especially those with impairments.

Speak with Authority & Confidence

Personally, my brain checks out as soon as I hear someone soft-spoken or lacking confidence at the mic. You need to command attention as a speaker, even if you have to fake it. This doesn’t just mean to be loud, although that teacher voice comes in handy. This means that the way you speak is clear, confident, and shows the audience that you know what you are talking about. This takes practice. Record and listen to yourself, and send it to a friend who will give you honest feedback.

Screen Sharing

Many of us demonstrate on our computers during presentations, especially a how-to style training. Learn how to zoom in on your device so that everyone can see what you are doing on the screen. (“Control +” to zoom in, “Control -” to zoom out in your web browser.)

Learn how to use the accessibility features on your device. I use a Mac, and it has many accessibility features that allow you to zoom in on different areas of your screen.

I also create screencast gifs to add to my slides that can often be more effective because it is sized perfectly and loops for the audience to see the steps.

Virtual Presentations

With virtual becoming so necessary over the last year, many of us have been delivering presentations in a virtual setting. Here are some tips to make you look and sound more professional.

Lighting

If your face will be visible at all, take the time to set up some good lighting. You don’t have to buy anything fancy. Grab a couple of lamps and remove the shades and fill the room with light.

Camera

I also use an external HD camera that gives me extra light and more control over camera placement, so everyone isn’t staring at my chin.

If you are using your phone, just play with the settings to get the best light and picture.

Microphone

Similarly, a good microphone can make a big difference in how you sound. Most built-in microphones on your computer are just not that great, and make you sound like you are in a hallway. I use a Blue Yeti, but you can get quality USB mics on Amazon for even less.

Choose Your Background Wisely

Please, take the time to look at what’s behind you when you present/record. Nobody needs to see your sock hanging out that drawer! There are so many virtual backgrounds to cover that up. Just make sure whatever is behind you looks clean and professional.

Gather Feedback

If you want to improve your craft, you should add a link at the end of your slide deck and ask for feedback. People do not always tell you when they are lost, confused, or can’t read a slide. Gather both quantitative and qualitative feedback to improve your presentation skills.

Preparation

The day before your presentation, do a quick run-through to check your slides and links. Make sure you aren’t killing your audience with a separate transition for twenty bullets. Double-check your links because links break all the time.

Check for updates, especially Google!
